Risk Planning

Risk Management supports Student Involvement and students by providing risk planning training for ASUI and college student groups or organizations.

All organizations that self-identify or fall within the high-risk classification will be required to take additional risk management training.

High-risk organizations will be required to meet with Environmental Health and Safety (EHS) and Risk Management prior to final recognition, develop a risk management plan and adhere to the risk management plan. Prior to meeting with Risk Management, student and advisor should view the Student Groups Risk and Insurance training in Vandal Sync. Organizations will be required to follow the risk management plan and provide to Student Involvement signed waivers from all organization members / participants in order to be an affiliated organization.

High-risk organization advisors are required to complete additional training and education, meet with the office of Risk management and sign-off on organizational risk management plan.

The Department of Student Involvement will maintain copies of signed student waivers for two years from the last date of activity.

Flow of Activity

  1. Prior to meeting with Risk Management, student and advisor should view the Student Groups Risk and Insurance training in Vandal Sync.
  2. Risk management training for advisors and clubs includes meeting with Risk and EHS to develop a risk management plan and implementing. The risk management plan should enable specific, tailored outcomes for each organization will identify campus offices which student organizations are required to visit with. Risk, EHS and Club Advisors sign off developed risk management plan and forward to Department of Student Involvement.
    1. Risk planning to develop risk management plan
    2. Specialized waiver preparation, signatures and retention
  3. Department of Student Involvement retains completed waivers for two years.  Each organization member / participant must have a signed waiver on file with Student Involvement for the organization to be an affiliated organization and for members to participate activities.

Student groups may proceed with LOW and MODERATE activities without consultation with University of Idaho Risk or Environmental Health and Safety. Plan appropriate “risk transfer” (i.e. Waivers) and “loss control” (i.e., safety practices). Remember that a generally “LOW RISK” group may plan or participate in a HIGH RISK event (i.e., remote camping). Student groups must always refer HIGH RISK activities to U of I Risk and Environmental Health and Safety.

Low to Moderate Risk Activities

  • Discussion or lecture, non-controversial
  • Events without high risk activities (for either members or spectators)
  • Meetings to plan group activities
  • Moot Court
  • Online activities, non-controversial (design, anime)
  • Physical activity, low (Arb walks)
  • Sedentary activity, such as box games or knitting
  • Speakers or presentations, non-controversial
  • Tables or booths to recruit and inform, no demonstrations
  • Physical activity, moderate (i.e., taking photos in the Arb)
  • Sports, non-contact, no weapons (i.e. yoga, tai chi)
  • Theatre productions, no stunts
  • Travel to easily accessible areas

For High Risk Activities, 60 days prior to activity, student groups must consult with University of Idaho Risk and Environmental Health and Safety to discuss risk management of the activity.

High Risk Activities

  • Chemicals
  • Events, with food and/or alcohol
  • Events, high risk (i.e., logging sports demonstration, fun runs, over 200 attendees)
  • Lab activities, or activities which should take place in a lab
  • Performers and stunts, high risk (knife juggling, fire dancers)
  • Physical activity, strenuous
  • Speakers or performers, controversial
  • Sports, contact or extreme
  • Travel, back-county and remote
  • Travel, metro areas

Prohibited Activities

  • Volatile materials – University restricts or prohibits
  • Weapons – University restricts or prohibits
  • Minors, events / activities / programs that serve youth under age 18 – University restricts or prohibits to student groups

A waiver is used to

  • Inform prospective participants of potential risks involved with an activity
  • Allow an individual to voluntarily choose to incur risks
  • Secure an agreement from the individual to hold harmless the University

University employees are covered, subject to exclusions, if their actions cause bodily injury or property damage to "third parties." Students are required to retain their own personal liability coverage. 

Setup online waiver

The Online Waiver request system was created to increase efficiency for units and Risk by decreasing the amount of time it takes to complete the waiver request, and having the most current form in use. Units will need to contact their college Dean's office to see if they have a designated reviewer for online waiver requests.

College approval of online waiver

College Deans can request participation with a simple email to UI-Risk@edu.idaho.gov stating the name and email address for the person that they would like to review and approve the waiver request forms.

The college's designee will receive an email when there is a waiver request for their review. The designee can access the Online Waiver Reviewer's Section with their Vandal Sign in and password. 

After a unit receives a waiver from Risk

It is the responsibility of the requester to distribute the waiver to all the activity participants. Signed copies of the waiver should be collected in advance of the activity and stored appropriately with the unit. Should a loss occur, the Waiver should be attached to the Incident Report.
